Privacy Notice
Hampshire County Council collects information from you for the purposes of assessing evaluating and monitoring your grant application.
Hampshire County Council will be the Data Controller of this information. We may not be able to process your application if you do not provide all the requested information. Please only provide the information requested and no extra personal information.
The legal basis for our use of this information is that processing is necessary for the performance of a contract to which the data subject is party and/or that processing is necessary for the performance of a task carried out in the public interest.
Where special category data is used, the legal basis is necessary for reasons of substantial public interest. In order to make a decision on your grant application some of the personal information provided may go into a public decision report.
Grant applications will be retained for a maximum of 6 years (plus current year).

In addition to this privacy notice some departments and grant streams collect additional personal and special category data and share information with partners.
Culture, Communities and Business Services grants
In addition your application form, and any supporting documentation, may be shared with partner agencies who will be involved in the decision making process i.e. Sports applications are reviewed by ‘Energise Me’ (formerly Sport Hampshire) and Cultural and Arts applications are reviewed by Hampshire Cultural Trust (formerly Hampshire Arts and Museum Service).
Children’s Services 0-19 Children’s Services grant
The special category data we collect is parental contribution amounts. Your full grant application is shared with members of local district evaluation panels. All evaluators are required to sign a confidentiality/conflict of interest form, prior to starting the evaluation process.
The local panels are made up of representatives from the following groups:
- Local councils (district, borough, city)
- Police
- Health
- Schools and colleges
- Voluntary organisations
- Parent and carer representatives
Children’s Services short breaks for disabled children grants
The special category data we collect is:
- Dates, times and venues for all activities which will be taking place
- Gateway Card Numbers – for support for individual applications
- Parental contribution amounts
- The number of young people who will be participating / or anticipated number of young people attending

Childcare additional needs grant
The special category data we collect is:
- how many hours the individual attends per week
- details about individual child’s needs
In the supplementary information form:
- Setting details (name, postcode, claim dates)
- Setting support details (Names of County Council staff supporting setting)
- Attendees / contributors to co-production planning meeting details (name, job title/role of attendee)
- Information from parents/carers (views, photos, opinions)
- Information from/about the setting (strategies, staff summary numbers, facilities information, description of use of grant)
- Child’s information (strengths, health needs, concerns around child, child attendance in hours, risk assessment)
- Summary funding details (number of children receiving certain benefits)
The online application and supplementary information form (Word document) for this grant is shared with the:
- Area Inclusion Coordinator (Area InCo)
- Childcare Inclusion Manager
- Inclusion Team Leader
- Services for Young Children Inclusion Team, including the team’s administrative support
This group forms the evaluation panel that will review the submission and make a decision. If the grant application goes to appeal, the application and supplementary form will be shared with the Services for Young Children Inclusion Management Team for review and decision.
