Suppliers who are accepted on the DPS may use this tool to inform the Council of the licences they hold and to identify which insurances must be held by the Supplier prior to a contract award. Insurance requirements vary depending on your business model and the DPS flags held. After submission, the supplier will receive an automated email to inform them of HCC’s insurance requirements based on their responses. We will use the email provided within the questionnaire to check that relevant insurances are held by the supplier whilst undertaking a Hampshire Contract. For the avoidance of any doubt, the responsibility to hold the correct insurance and licences is the sole responsibility of the supplier, this is a tool designed to assist the supplier fulfil their responsibilities under the DPS overarching agreement.

Typically, a supplier should use this questionnaire on an annual basis or if they change how they are delivering transport services (e.g., start using owner drivers, employing others etc).

Information that identifies you may constitute your personal data. Hampshire County Council collects information about you. The data helps us understand more about your business structure which helps both you (the supplier), and Hampshire County Council ensure you hold the correct insurance and licences to operate contracts on the DPS.

We will use the information to confirm you hold the correct insurances and licences to supply passenger transport services on behalf of Hampshire County Council.

The legal basis for our use of this information is that it is necessary for compliance with a legal obligation to which the County Council is subject.

We will keep your personal information for the life of the DPS (the DPS may be active until 2033), plus seven years, and the duration of any contracts you may be awarded via the DPS plus seven years.
