BASIC LEVEL MINUTE MONITORING
Triggers for further action
Immediate action - refer to Assistant Coordinator
1) The minutes indicate there has been a breakdown in the relationships between:
· the governors
· the governors and the headteacher
· the governors and the parents
· the headteacher and the parents
2) There are obvious and important procedural discrepancies e.g. no election for chairman, co-options with the incorrect quorum, no review of committees, confidential items in the main body of minutes.
Note to be made in the central file
1) Evidence of consistently poor attendance at meetings
2) Governing body experiencing difficulties electing its officers
3) The minutes are consistently poor
4) There is a high turnover of governors
5) Adverse comments noted in the minutes about the LEA or Governor Services
6) Proposal put forward to change the status of the school or constitution of the governing body
These notes will need to be filed on a priority basis and if there is other paperwork already in the governing body's pocket the file should be reviewed to see if there are on-going problems that may require further action. If it is felt there is cause for concern the file should be referred to the relevant AGSC for them to decide if any action is required.
General checklist
The minutes should be logged in the normal way against the general checklist and membership details reviewed.
The checklist should be reviewed on an annual basis and if there are consistent shortcomings identified in areas that have not been logged in the central file a letter should be sent to the governing body (copy to central file).
